Welcome to Lead Revival AI. Follow these steps before using the team with real customer information.
- Customize Your Business
Message the Team Lead with the following information:
Your business name
Your target industry or niche
Your city, state, or service area
The services you provide
Your business hours
Your preferred brand voice
Your pricing or package structure
The types of leads you want to follow up with
Any services, locations, or customers you do not accept
Example:
“My business is Madison Lead Revival. I help residential HVAC and roofing companies in Wisconsin follow up with missed inquiries and unsold estimates. Use a friendly, professional, straightforward tone.”
- Choose Your First Service
Begin with one workflow:
Missed-inquiry follow-up
Unsold-estimate recovery
Old-customer reactivation
Lead organization and qualification
We recommend starting with missed inquiries or unsold estimates before adding additional services.
- Prepare Your Lead Information
Upload a spreadsheet containing as many of these fields as possible:
Customer first name
Email address
Phone number
Service requested
Inquiry or estimate date
Current lead status
Estimated project value
Previous communication
Relevant notes
Permission to contact
Start with fictional or test information so you can review how the agents classify leads and write messages before using real customer data.
- Set Your Pipeline Stages
Ask the Pipeline Manager to organize leads using these stages:
New Inquiry
Needs Review
Contacted
Customer Responded
Appointment Requested
Estimate Sent
Follow-Up Needed
Won
Lost
Do Not Contact
You may rename or remove stages to match your client’s existing process.
- Connect Your Tools
Connect a dedicated business email inbox when you are ready. CRM, calendar, form, or other supported integrations may also be added.
Avoid connecting a personal inbox or sensitive business account during testing. Only give agents access to the tools they need.
Text-message content can initially be drafted inside Lead Revival AI and copied into the client’s approved messaging platform.
- Confirm Your Communication Rules
Tell the Quality Reviewer:
Whether email, text, or both will be used
How often leads may be contacted
Which hours messages may be sent
When a human employee should take over
Which statements or promises are prohibited
How opt-outs and do-not-contact requests should be handled
All external messages should require human approval during initial setup.
Agents must not:
Invent customer responses or appointments
Promise prices, availability, discounts, or results
Diagnose technical problems
Claim work has been completed
Continue contacting someone who has opted out
Send mass unsolicited outreach
7. Run Your First Test
Upload 5–10 fictional leads and give the Team Lead this instruction:
“Review these test leads, organize them by status and priority, draft one personalized follow-up for each appropriate lead, flag anything requiring human attention, and create a summary report. Do not send any external messages.”
Review the results and give the agents corrections about tone, accuracy, timing, and qualification standards.
- Begin With a Small Live Pilot
Once the test results look accurate, run a small pilot using approximately 10–25 legitimate leads from one business.
Continue requiring approval before messages are sent. Track:
Leads reviewed
Messages approved
Customer responses
Appointment requests
Estimates revived
Opportunities recovered
Leads requiring human attention
9. Create the Client Report
Ask the Reporting Analyst to produce a simple daily or weekly report showing:
Number of leads processed
Number contacted
Number who responded
Appointments requested
Estimates reactivated
Potential opportunity value
Leads needing manual follow-up
Report opportunities honestly. Do not present potential revenue as confirmed revenue.
- Expand Gradually
After the first workflow is operating accurately, add another service, client, integration, or communication channel. Review agent activity regularly and keep human approval enabled for sensitive customer, scheduling, financial, or account-related actions.
Recommended first command:
“Help me configure Lead Revival AI for my target niche. Ask me one question at a time about my services, ideal clients, communication rules, pricing, and first pilot.”
